An overview of your workspaces and their status, all in a single view

Workspace portfolios give workspace members better visibility of Tasks, Information requests and Form submissions across multiple workspaces.

Creating your first workspace portfolio

To create your first workspace portfolio, select the toggle switch by 'My Portfolios' on the dashboard.

Click 'Add Portfolio'.

Give your portfolio a name and click 'Create'. Next select the portfolio name.

Select the information you wish to track.

Then select the workspace(s) that you would like to add to your portfolio. If you have a large number of workspaces you can quickly filter by name. Click 'Save'. This will then open the portfolio.

You can view and select any portfolios you have created from the dashboard.

Sharing your portfolio with other workspace members and managing the workspaces in the portfolio

You can add or remove workspaces by opening the portfolio, selecting 'Actions' and clicking 'Manage workspaces'.

Click 'Share' to share the portfolio with other workspace members. Then select the workspace members who you would like to share your portfolio with from the drop down list and click 'Share'.

They will receive a notification and your portfolio will appear in their list marked as [Shared]. When a recipient opens your shared portfolio they will only be able to view workspaces that they are a member of.

Follow a portfolio

You can follow a portfolio that you’ve created or have been shared with, allowing you to receive updates on the information requests included within it.

To follow a portfolio, simply access the desired portfolio and click on 'Follow this portfolio.'

Notification emails from following a portfolio will be prefixed with 'Follow Notification' to help you distinguish them from regular notifications.

Information Requests portfolio

The Information Requests portfolio view will show the information requests across the selected workspaces.

Click 'Export list' to export the requests as a csv file.

To filter the requests, click 'Filter Requests' and a side panel will open with further options.

The toggle switches at the top allow you to view recurring requests, archived requests and requests with expired reminders.

Information requests can be filtered by member or email, title, created date range, workspace and state by clicking on the relevant section of the pie chart.

Task and Project progress portfolio

The task and project portfolio will allow a Workspace Owner to feedback detailed information to the workspace members by adding a description and priority to the project. If a project's status changes, the Workspace Owner can give status updates, with an explanation, and their members are notified immediately.

Your portfolio makes it easy to see each project's progress, it's start and end date, if applicable, and it's status and priority. Click on any of the workspaces in your portfolio for more detailed information.

The detail panel includes all of the information required to assess a project's progress. Click on the workspace's name to navigate directly to the task list in that workspace.

You can navigate to the same information from the task list of a workspace by clicking on the icon highlighted above.

Changing a project's status

Only a Workspace Owner or Administrator can update a project's status and priority. To do that click the status on the detail panel and select your desired status.

Now enter an explanation to inform other workspace members of the reason you've changed the status and click 'Update status'.

All workspace members will be notified of the update. It will also appear on that workspace's Discussions feed and the main Dashboard feed.

Form submissions


The form submissions portfolio shows the progress of every form request and submission of the forms in the selected workspaces. This can be filtered by selecting the filter icon on the top right.

The form progress panel can be filtered by user, workspace, form name and state.
