If you would prefer to see an overview of every information request sent across multiple workspaces, you will first need to create a portfolio of the workspaces you want to report on. That portfolio will then become accessible from the 'My Portfolios' panel on the Dashboard.
Portfolios allow you to reassign, archive, delete requests, and reset reminders in bulk. The requests can be filtered and exported for easy visibility, shared with other members and easily followed for updates.
Create a portfolio
To create your first workspace portfolio, select the toggle switch by 'My Portfolios' on the dashboard.
Click 'Add Portfolio'.
Give your portfolio a name and click 'Create'.
Select 'Information requests'.
Then select the workspaces that you would like to add to your portfolio. If you have a large number of workspaces you can quickly filter by name. Click 'Save'. This will then open the portfolio to display the report of Information requests across the selected workspaces.
Each column can be arranged by selecting the arrows by the column name.
Filtering and exporting the requests
Click 'Export list' to export the requests as a csv file.
To filter the requests, click 'Filter Requests' and a side panel will open with further options.
The toggle switches at the top allow you to view recurring requests, archived requests and requests with expired reminders.
Information requests can be filtered by member or email, title, created date range, workspace and state by clicking on the relevant section of the pie chart.
Managing requests in bulk
If you select requests by clicking on one or more of their checkboxes, an 'Action' button appears with a drop-down menu of actions to reassign, archive, delete requests, and reset reminders in bulk.
Note: You can use the filter option to display requests that meet certain criteria first.
The 'Reset reminders' action allows you to create a new due date and desired reminder frequency for all the selected information requests, just as you would when creating a new information request.
Sharing your portfolio with other workspace members and managing the workspaces in the portfolio
You can add or remove workspaces from your portfolio by selecting 'Actions' and clicking 'Manage workspaces'.
Click 'Share' to share the portfolio with other workspace members. Then select the workspace members from the drop down list who you would like to share your portfolio with and click 'Share'.
They will receive a notification and your portfolio will appear in their list marked as [Shared]. When a recipient opens your shared portfolio they will only be able to view workspaces that they are a member of.
Following a portfolio
You can follow a portfolio that you’ve created or have been shared with, allowing you to receive updates on the information requests included within it.
To follow a portfolio, simply access the desired portfolio and click on 'Follow this portfolio.'
Notification emails from following a portfolio will be prefixed with 'Follow Notification' to help you distinguish them from regular notifications.
