When you create a new recurring information request there are several options available when you add the recipient's details.
The 'Upload file' option provides a convenient way to customise the email notification with the recipient's details. It has the added advantage of allowing you to personalise the content of the email notification that is sent to the recipient.
Bulk upload file
IMPORTANT: Do not change any of the headings on the spreadsheet, and ensure that it is saved as a CSV file; otherwise, it will not work.
Populating the upload file
Add your recipient information to the relevant columns in the spreadsheet as follows:
Email (required): Add the recipient's email to this column.
The next columns are optional variables that can be used to populate the workspace template for the recurring request. This can help personalise the email requests sent to recipients.
Recipient_id to add a unique reference or ID for the recipient.
Recipient_name to add the recipient's name.
Sender_name to add the sender's name.
Company to add the recipient's company name.
Sms_reminder to send reminders to your recipient (not required)
The information request template
To personalise recurring information requests you first need to add the placeholders for each of your variables to the information request template that will be added to the recurring information request.
You can add the following place holders to either the subject line or message of the email notification:
$recipient_name$
$company$
$recipient_id$
$sender_name$
Upload file
After you have populated the bulk upload file, save it locally. Your file is ready to upload.
Select ‘Upload file’ to upload your template. Once uploaded, the recipient's email and any populated variables will be added to the recurring request.
