Managing information requests

Reminders, activity log, exporting, and deleting responses

Each information request has a number of options that are available to workspace members.

Click on the information request to open it. The 'Action' button with its drop-down menu is found at the top right of the detail panel and offers the following options:

  • External View allows members to add information to a request on behalf of the recipient.

  • Edit Request to add, remove or edit items. You can also organise your items into groups. Also, if a line item is required urgently or within a specific time frame, you can assign an individual 'due by date' to emphasise urgency and provide clear instructions.

  • Edit reminders that are sent to the recipient automatically. The due date can also be updated.

  • Edit recipient(s) of the request.

  • Reassign the request to another workspace member.

  • Send a reminder to the recipient manually. This option is typically used once the automated reminder schedule has finished. The manual reminder will be recorded in the schedule to track that an additional reminder was sent.

  • Unsubscribe reminders on behalf of the recipient. Although they do have the option to do that themselves, using the link in any email notification they receive.

  • Mark Submitted regardless of whether the request has had a comprehensive response or not.

  • Get link to the information request.

  • Export all of the responses to that request as a zip file. Text responses will be exported as PDF files.

  • Delete the request.

Reminder schedule

If reminders have been applied to a request, the schedule can be viewed by clicking the 'Reminder schedule' link.

Reminders will be sent automatically, 5 days before, 2 days before, and on the due date. Overdue reminders are then sent based on the schedule that was applied when the information request was created.

View recipient access activity

If you want to see when the recipient has accessed an information request, click on the 'Recipient activity' link for a date and time-stamped log. This will record each time the request is accessed, regardless of whether responses were added or not.

View internal access activity

If you want to see when other workspace members have accessed an information request, click on the 'Internal activity' link for a date and time-stamped log.

Re-assign, archive, or delete requests

The 'Requests' section of each workspace contains the information requests that have been sent from that workspace.

To archive, delete or re-assign one or more information requests to another workspace member, select the checkbox next to the request and then click on the required action from the 'Action' dropdown.

When reassigning requests, select the assignee and click the 'Assign' button.

Note: Once an information request is archived, it will no longer be available to the recipient to view or respond to.
